Privacy Policy

Last updated: 20 October 2026

This policy describes exactly what Edugate Tutor Academy collects, why, and what becomes visible to others. It covers the real application — Google sign-in, tutor applications, tuition requests, published profiles, ratings and reviews — not hypothetical features.

Who runs this site

Edugate Tutor Academy (“Edugate”, “we”) runs this website: an online and home tuition academy where families can discover tutors and post tuition requirements, and teachers can apply to join the academy. The quickest way to reach the academy is the WhatsApp chat link in the footer of every page. That channel opens a conversation you write and send yourself — it is not an automated messaging system.

What we get from Google when you sign in

Sign-in uses Google's authentication. When you choose to sign in, Google shares your email address, your account name and a Google account identifier with Edugate so we can create and recognize your account. We never see, receive or store your Google password, and we do not request access to any other Google data (no contacts, files, calendars or documents).

Your Edugate account is created automatically the first time you sign in with Google. The email address is used to identify your account, and your name is shown where the application requires it (for example as the display name on a review you submit).

Tutor applications

To apply to teach with Edugate you fill in an application while signed in. We collect what the form asks for: your full name, phone number, city or area, the subjects, levels and (optionally) boards, languages and teaching modes you teach, and a written summary of your experience and qualifications. You may also add an optional photograph; photographs must be JPEG, PNG or WebP and are limited to 5 MB.

An application is private until the academy reviews it. Nothing you submit in the application is publicly visible while it is under review. If the academy approves your application, a tutor profile is published from it (see “What becomes public” below). If it is declined, the academy can see the application and you see the status and reason on your own application page; it is never made public. You can withdraw a pending application yourself, which removes the submitted application so you can apply again.

Tuition requests from students and parents

When you are signed in you can submit a tuition requirement: the subject, class or level, city or area, whether you want online or home tuition, and optionally a budget and any additional details. These requests are visible to you on your account page and to the academy team for review. They are never shown publicly — no student name, contact detail or request content appears anywhere on the public site.

What becomes public

Some information you provide is intended to be seen by visitors:

  • Approved tutor profiles. Once the academy approves an application, your profile name, photograph, city or area, subjects, levels, languages, teaching modes, short introduction, biography, availability and your teaching-experience summary are visible on your public profile and in the tutor directory.
  • Ratings and reviews. If you submit a website rating (and optionally a written review) through the experience section, your account display name, the star rating and any text you wrote are published on the site right away. Website ratings publish immediately — there is no review step before they appear. Submitting a rating is optional and one rating per account is kept; submitting again updates it.

Please do not include other people's personal details in review text or profile fields you intend to be public.

Why we process this information

Only for what the academy actually does: to create your account so you can sign in; to review tutor applications and publish approved profiles; to let the academy contact you about your application or tuition request; to keep the public directory and tuition board accurate; and to publish the ratings and reviews visitors see. We do not use your information for advertising, profiling or automated decision-making, and we do not sell it.

Where the information is held (service providers)

Edugate is a web application, so the information above necessarily passes through the infrastructure providers the academy uses:

  • Website hosting — the provider the site is deployed on serves the pages and stores uploaded photographs alongside the application.
  • Database — accounts, applications, requests, profiles, ratings and admin records are stored in the academy database (Neon PostgreSQL for the current environment).
  • Google — handles the sign-in itself; we receive only the account details described above.

Photographs you upload are stored through the application's media storage and are served publicly at unguessable addresses so profiles can display them. We do not claim that any specific encryption or compliance certification applies beyond what these providers offer as standard.

WhatsApp handoffs

Contact, inquiry and “post your own tuition” buttons open the academy's WhatsApp chat in a new tab. Nothing is sent automatically: you write the message and press send yourself, and the conversation then takes place directly between you and the academy on WhatsApp, where Meta's own terms and privacy policy apply. We receive only what you choose to send in that chat.

How long information is kept

Your account and the records tied to it (applications, tuition requests, published profile, ratings and reviews) are kept for as long as your account exists and the academy needs them to operate. The academy does not currently publish fixed deletion schedules. Hiding your tutor profile from the directory is reversible and keeps your data; it is not deletion. If you want your account and associated data removed, ask through the WhatsApp channel in the footer and the academy will handle the request. Administrative actions are recorded in an internal audit log (which admin acted and what changed — not the content of your data).

How it is protected

Sign-in uses Google authentication with encrypted connections. Every signed-in area is checked on the server against your live account status on every request — a disabled account loses access immediately. Administrative access is restricted to the configured academy administrator and re-verified server-side on every page and every change; every administrative change is logged. Application, request and profile data is only ever read and written for the account that owns it. Photograph uploads are limited by type and size and stored under server-generated names.

Your choices and rights

You can review your submitted information on your account page and your application status page. You can update your display name and (if you have a profile) your public profile fields at any time. You can withdraw a pending tutor application, revise your rating, and hide or restore a published tutor profile from your account. For anything else — access to, correction of, or deletion of your information — contact the academy through the footer WhatsApp channel.

Information about children

Tuition is often arranged for school-age students. Tuition requests are submitted by the parent, guardian or student using their own account, and the request form deliberately asks for the student's subject, class and area — not the student's full name or contact details. Parents and guardians submitting requests on behalf of a child should avoid including the child's name or other identifying details in the free-text fields. Tutor applicants must be adults applying in their own professional capacity.

Changes to this policy

This page will be updated if the academy changes what it collects or how it operates. The date at the bottom reflects the latest revision. Continued use of the site after a change means the updated policy applies to you.
